Please read the Terms and Conditions carefully as together they set out our respective obligations and form the basis of your contract with us.
General Information and Booking Conditions
In these Terms & Conditions, the ‘Company’ shall mean Fed Tours & Safaris; a company registered according to the company laws of the United Republic of Tanzania. The ‘Client’ shall mean the person who has signed a booking form as the Lead Booking Name and each person named in the booking form. The ‘Agent’ shall mean the company, who has signed an Agent’s Contract and is booking a Client to travel with Fed Tours & Safaris.
Reservations Terms
A deposit is required to confirm the booking. The deposit will be calculated according to the total cost of the safari.
The final payment is due 60 days prior to arrival and should be paid in USD or EUR by cash or transfer.
A booking will be considered confirmed upon receipt of the deposit – Management reserve the right to release a booking if deposit has not been paid within the reasonable time.
Please send us proof of payment once the deposit or balance has been paid.
Clients are responsible for the bank charges.
There is no right to a refund for any unused services.
Cancellation Policy
Cancellation penalties will be charged at the discretion of the management as follows:
Up to 45 days – forfeit of deposit
45 – 0 days (or not show) – no refund will be made
If we cancel your safari holiday (except where you have failed to make payment or as a result of force majeure) we shall offer you the choice of purchasing an alternative holiday from us of a similar standard to that originally booked if available.
If the chosen alternative is less expansive than your original holiday we shall refund the difference but if it is more expansive, we shall ask you to pay the difference.
Force Majeure
The Company cannot accept any liability or pay any compensation in respect to delays or lack of performance affected by ‘force majeure’.
Force Majeure means any event which the Company has no control over and even in circumstances where all due care was taken the event could not have been avoided or foreseen. This includes events such as war, or threat of war, riot, civil strife, terrorist activity, industrial dispute, natural disaster, adverse weather conditions, fire and all similar events outside the Company’s control.
When to book your Safari
It is better to book as far in advance as possible to ensure availability of rooms and other services, especially during the peak seasons (June to February, and Christmas time). This is especially important for those wishing to travel on private custom made safaris and those adding extensions to the scheduled trips.
Passport and Visas
Travel agencies and clients must ensure that passports and visa’s are valid for the countries visited. Fed Tours & Safaris Ltd cannot be held liable or responsible should a passenger be refused entry into any country for any reason.
Changes and Delays
By the company: The Company shall reserve the right to change any tour due to unforeseen circumstances (e.g. airlines not running on schedule, road conditions, weather, mechanical breakdown, accidents and political instability) beyond the control of Fed Tours & Safaris. The Company will try to provide adequate alternatives, but will accept no liability.
By the client: In case the client changes the itinerary on his own request, the Company shall try to accommodate the client, but may charge cancellation fees. This is subject to a new quotation, which will be given by the client in writing.
Liabilities and Insurance
Fed Tours & Safaris acts only as an agent of the passenger in all matters relating to tours and accepts no responsibility for any personal illness, injury, accident, death, delay, any kind of loss, damage or irregularity of any kind, which may be occasioned by reason of any act or omission beyond its control, including without limitation, any act of negligence or breach of contract of any third party such as a hotel or airline, who is to, or does supply, any goods or services for Business etc.
Therefore, you should secure fully comprehensive travel insurance to cover you for any eventual loss of baggage or valuables, personal accident and medical expenses, or loss of any kind.
We also highly recommend you purchase travel protection insurance. It is a condition of booking that the sole responsibility lies with the guest to ensure that they carry the correct comprehensive travel and medical insurance to cover themselves, as well as any dependents/traveling companions for the duration of their trip with the Company. This insurance should include cover in respect of, but not limited to, the following eventualities: cancellation or curtailment of the safari, emergency evacuation expenses, medical expenses, and repatriation expenses, damage/theft/loss of personal baggage, money and goods. The Company, including their representatives, employees and agents, will take no responsibility for any costs, losses incurred or suffered by the guest, or guests’ dependents or traveling companions, with regards to, but not limited to, any of the above-mentioned eventualities.
Included & Excluded
Our safari packages include all accommodation, meals and water while on safari, airport transfers, park fees, services of professional Guides, Cooks and other Camp Staff, private Landcruiser with open roof & fuel. It is customary to tip your Driver Guide, as well as the Cook or Camp Staff if you are camping during your safari. You will also pay for your own beverages and personal items like laundry service and phone, excess baggage charges and are responsible for any passport and visa fees. All other extras not specified in the contract.
The Company’s contract will be governed by and constructed in accordance with the law of Tanzania. Accordingly each party irrevocably submits to the jurisdiction of the Tanzania courts to settle any dispute or matter arising under this contract.
